A shared robe is only available when the firm knows its model, size, components, current user and condition on return. A compact register prevents missing accessories, unsuitable issue and delayed maintenance.

Separate personal ownership from shared stock

A firm may combine lawyers' personal robes with limited shared stock for the oath, an unexpected hearing or temporary replacement. Record who owns every garment. Privately owned property must not silently be issued as office equipment, while a shared item should remain available under a known reservation and return process.

Define the stock's purpose: emergency cover, regular lending or ceremonial use. That purpose determines necessary size range, accessories and transport. Do not turn the firm's lawyer headcount into an automatic order quantity. Hearing frequency, personal ownership, practice areas and real simultaneous demand are more useful operational variables.

Give every garment a usable identity

Assign a unique inventory code and link it to role, legal model, size class, length, outer cloth, lining and accompanying components. A rabat, epitoge, toque, garment carrier or other accessory can receive its own sub-code. Before issue, the manager can then see whether a set is complete and appropriate for its intended function.

Keep the physical label restrained: inventory code, size indication and care information are generally functional. Do not add client names, case numbers or unnecessary personal data. The internal register can identify the responsible user and contact date, with access limited to those who actually manage the stock.

Issue and return are one process

At issue, record date, user, expected return, destination, type of sitting and every component provided. The user visually confirms condition and fit before leaving. An incomplete or unsuitable set is then discovered in the office rather than outside the courtroom. For transport, keep the robe dry, sufficiently loose and protected from sharp objects.

On return, check the same components and inspect for stains, odour, moisture, loose seams and damaged fastenings. The robe does not automatically go back into the cupboard. Give it a status: available, airing, cleaning, repair or protocol check. A digital system may be simple; consistent recording matters more than elaborate software.

A size class is more than height

Shared robes need to cover a range without pretending to be individual bespoke garments. Alongside height, record useful chest, shoulder and arm allowance, intended hem position and clothing normally worn underneath. Test sitting, walking, reaching and bending the arms. A label of S, M or L without a measurement definition is too vague for professional stock.

Keep a short fit note for every class and state the limits at which another size is needed. Emergency stock need not follow each body perfectly, but it must not obstruct movement, safety or the prescribed silhouette. Repeated fitting problems provide evidence for a targeted alteration or an additional documented size class.

Plan care by condition and label

Follow the complete instruction for the actual garment and treat outer cloth, lining and accessories as a system. A calendar alone does not decide when professional care is required: intensity, incidents, odour, soiling and material condition all matter. Record treatment, date and provider so recurring damage or unwanted change becomes visible.

Flag an open seam, early wear or missing fastening promptly. A competent assessment chooses local repair, component replacement or full replacement. Do not advertise a fixed legal service life of fifteen, twenty or twenty-five years. Such periods are planning assumptions only, never an automatic retirement rule.

Protocol checks and functional procurement

Review stock when law, local court instructions, office practice or roles change. The lawyer's robe remains based on the 1968 decree, but a shared item may be incomplete or unsuitable for a particular use. Mark uncertain sets as blocked until their intended destination is confirmed again.

When expanding stock, describe role, model, quantities by size class, materials, components, fitting and acceptance criteria, labelling, repair and delivery. Institutions subject to Belgian public procurement use open functional requirements without unnecessary brand restrictions. A private firm can voluntarily use the same discipline to compare offers and document acceptance.
